What is the syllabi archive project?
The Teaching Effectiveness Committee discussed and subsequently agreed upon the need for the creation of an electronic syllabi archive that would be easily accessible to faculty and staff. In the past, paper copies of quarterly syllabi have been housed in the Associate Dean’s Office and were not readily accessible to faculty and staff members. An electronic archive of syllabi, uploaded to the public drive and housed in an indexed format on Carmen, will be a useful resource. The archive is ready for use starting Autumn Quarter 2009. The Associate Dean’s Office will no longer collect paper copies of syllabi nor electronic ones sent via email. All syllabi need to be uploaded to the “P:” drive each quarter by faculty members. All syllabi will need to be saved as a PDF file, named in a standard format and uploaded. Directions for naming your document in a standard way given below. If an instructor is teaching several classes, several PDFs will need to be uploaded. If you are teaching a section of a class and have course materials in addition to the syllabus, those materials must be combined with the syllabus to make one document before uploading as a PDF.
How to save a PDF file document can be found in the Public File area.
It is named:
Public Folder- for Mac Users
P: Drive- for Windows Users

How will this process work?
· Each quarter, an email notification will be sent to remind everyone to upload their syllabi to the “P:” drive
· Each instructor will need to save each syllabus and its accompanying materials as one PDF. That PDF must be named in a standard format (see below). If an instructor is teaching several classes, he/she will need a file for each class.
· Syllabi will then be transferred out of the public drive and into Carmen. This will be done by a staff member. When you view the syllabi in Carmen, they will be organized by Year, Quarter and Department.
How do I name my files?
All syllabi uploaded must be named according to this specific format:
Year_Quarter_Department_Course#_Instructor
· Year needs to be four digits: ex. 2009, 2010, 2011
· Quarter should be spelled out: ex. Autumn, Winter, Spring, Summer
· Department should be selected from the list below to keep it uniform with SIS department headings
· Course# should include any mode designations such as: DL(distance learning), CT(computer taught), H(Honors) etc.
· Instructor needs to be listed with a last name and a first initial (LastF)
Example: 2009_Autumn_Music_345.01_SherrickR

Example: 2010_Winter_History_111H_MeyerT
Where exactly do I upload these files?
· Files need to be uploaded to the “P:” drive. When saving to the “P:” drive, choose the folder named “Syllabi Archive”. Mac users can connect to the Public drive by selecting Go | Connect to Server from the Finder menu, then entering or selecting smb://shares/public. Username and password are the same as for Lima webmail, and the domain is CAMPUS.
· Once you are in the “Syllabi Archive” folder, choose the subfolder named for the current quarter
· Save your files to that folder

Where will these items be housed on Carmen?
The syllabi archive will be housed in Carmen under “Ongoing- OSU Lima”.
